# Automation Email Drafts

Four emails, written in your voice, ready to paste into Flodesk. Each one maps to a specific automation trigger from the Backend Automation Playbook. Replace the `[bracketed]` variables with your actual info (phone number, booking link, Google review link) and the Flodesk merge tag for `[First Name]`.

**Variables you'll fill in across all four emails:**
- `[phone number]` — your text-friendly cell
- `[booking link]` — your Vagaro extension booking URL
- `[Google review link]` — direct link from your Google Business Profile
- Amazon affiliate links (once your storefront is live)

---

## Email 1 — Extension Prep

**Trigger:** Vagaro appointment created, service name contains "extensions," status = booked/confirmed
**Flodesk segment:** Extension Prep
**Timing:** Fires immediately on booking

**Subject options:**
- *You're on the books — a few things before your appointment* ← my pick
- *Prep for your extension appointment*
- *Looking forward to seeing you*

---

Hey [First Name],

So happy to have you on the books.

A few things to make your appointment as smooth as possible:

**The day before:**
- Shampoo + light condition on the mid-lengths and ends only
- Skip the heavy oils, leave-ins, and dry shampoo
- Come with your hair detangled

**What to bring:**
- A water bottle (sitting in the chair for 4-5 hours is thirsty work)
- Snacks or lunch if you're hungry — I keep some here, but bring your favorites
- Headphones + laptop if you want to work. I have Wi-Fi and a surface to spread out
- Comfy clothes

**Plan to be here around 4-5 hours.** I'll keep you updated throughout. Your balance is due at checkout.

If something comes up and you need to reschedule, text me as soon as you know — [phone number].

Can't wait to see you.

xx Jen

## Email 2 — Extension Home Care

**Trigger:** Vagaro appointment updated, service name contains "extensions," status = completed, appointment date = today
**Flodesk segment:** Extension Home Care
**Timing:** Fires immediately on checkout
**Attach:** Your existing home care PDF

**Subject options:**
- *Your home care guide — hair looks beautiful* ← my pick
- *Everything you need to protect your hair*
- *Home care guide + what to do next*

---

Hey [First Name],

Loved doing your hair today — it turned out so good.

Your full home care guide is attached so you can pull it up anytime. A few things worth repeating:

- **Separate the bonds every single day**, especially at the nape. 90 seconds of fingers through the roots and you're golden.
- **Sleep in a loose low braid or bun.** Silk pillowcase if you have one, otherwise just the braid.
- **Brush twice a day** with a loop brush or boar bristle — top down, then bottom up, nothing aggressive.
- **Wash every 3-5 days max**, sulfate-free, no conditioner at the roots.

**Products I actually use and recommend** — the ones that work hardest on my clients' hair, linked below:

- [Boar bristle brush — link]
- [Hair oil — link]
- [Detangler spray — link]
- [Silk pillowcase — link]
- [SPF for hair — link]

**In the first 48 hours**, if a bond feels tight, hot, or loose — text me right away. Don't wait for your next appointment. [phone number]

**Your move-up should be in 6-8 weeks.** You can book anytime at [booking link].

So glad you trusted me with this.

xx Jen

## Email 3 — Extension Review Check-In

**Trigger:** 14-day delay after Email 2 fires
**Flodesk segment:** Extension Review Check-In
**Timing:** Fires 2 weeks after appointment completion

**Subject options:**
- *Checking in on your hair* ← my pick
- *Two weeks in — how's it feeling?*
- *Your hair update*

---

Hey [First Name],

Just wanted to check in. How's it feeling?

By now you've washed and styled it a few times, figured out your rhythm with the bonds. If everything feels solid — perfect. If anything feels off (a bond tight, loose, uncomfortable), text me and we'll handle it. [phone number]

Quick reminder: **separate the bonds every day**, especially around the nape. That's the single most important thing you can do between appointments.

**And one small ask** — if you've been loving the hair, would you leave me a quick Google review? Takes 30 seconds and it genuinely helps me reach more of the right clients.

Thank you — truly.

xx Jen

## Email 4 — Color First-Visit Review

**Trigger:** Vagaro appointment updated, service = color (any), status = completed, subscriber does NOT have "Color Review Sent" tag
**Flodesk segment:** Color First-Visit Review
**Timing:** 3-5 days after her FIRST color appointment with you — then tag her so it never fires again

**Subject options:**
- *Hope you're loving the hair* ← my pick
- *Quick note about your color*
- *Thank you*

---

Hey [First Name],

Just wanted to say thank you for trusting me with your hair this week. Loved getting to work with you.

If you've been enjoying how it turned out, I'd really appreciate it if you left me a quick Google review. One or two sentences is all it takes, and it genuinely helps new clients find me.

See you at your next appointment.

## Flodesk setup notes

- **Create a Flodesk segment for each email** (Extension Prep, Extension Home Care, Extension Review Check-In, Color First-Visit Review).
- **Build each email as a "Workflow"**, not a one-off campaign — workflows let you tie delays and tags together.
- **For Email 4 specifically**, add the "Color Review Sent" tag at the end of the workflow so the automation never fires for the same subscriber twice.
- **Preview on mobile.** Most of your clients read these on their phone. Keep subject lines under 50 characters, use shorter paragraphs, and test the links.
- **Use Flodesk's merge tags** for `[First Name]`. Everything in `[brackets]` that isn't a merge tag is a variable YOU fill in once per email, not per subscriber.

## Tone notes

Every one of these is written to pass the voice check in your Claude project instructions:

- No naming her overlooked feeling back to her
- No "I know how hard it can be when you don't love your hair"
- No "caught yourself in the mirror"
- Confident and matter-of-fact — like someone who gets it without proving she gets it
- Specific instructions, not generic hype
- Warm sign-off (`xx Jen`) without being performative

If any email ever feels off in future versions, run it against the three riffs in Voice Correction and have Claude redraft.
